Send the first reminder 21 days before the next service is due, a second at 7 days, and one last message 3 days after the due date if the customer has not booked. GoHighLevel's Custom Date Reminder trigger starts each message from a date field on the customer's record. The bottom line: a service department fills its bays with customers it already has, so the reminder should be driven by a real due date, stop the moment the customer books, and carry a booking link instead of a coupon.
Why the service lane is worth a reminder system
NADA's 2026 financial profile shows service and parts were 13.3 percent of total dealership sales dollars in 2025. NADA's mid year 2025 report counted more than 137 million repair orders and $81 billion in service and parts sales at franchised dealers in six months. Dealer benchmarking guides report that fixed operations produce roughly half of a dealership's gross profit, with one 2026 summary putting it at 52 percent in the fourth quarter of 2025. A department that is 13 percent of sales and about half of gross profit loses real money on every empty bay hour, which is the case for a reminder that runs without anyone remembering to send it.
The three messages and when they stop
| Message | When it goes out | What it says | It stops when |
|---|---|---|---|
| First reminder | 21 days before the due date | The vehicle, the due date, and a link to book a time | The customer books or replies |
| Second reminder | 7 days before | A shorter note with the next open times this week | The customer books or replies |
| Missed reminder | 3 days after the due date | A plain offer to find a time, and the service line number | The customer books or replies |
A fourth step is a task, not a text. If the vehicle also has an open recall, create a call task for the advisor on day 14 after the due date, and read our guide on texting customers about open recalls for what that message may say.
Use the due date, not the mileage
The due date comes from your dealer management system, which holds each vehicle's last repair order and your service interval. Export it and import it as a contact date field called Next service due. A customer with two vehicles needs a record per vehicle, so use a Vehicle custom object with its own service due date and associate it with the contact. HighLevel's help page says the Custom Date Reminder trigger can start a workflow before, on, or after a date, works with contact date fields in contact based workflows and with date fields on the same custom object in custom object based workflows, and does not fire when the field is blank. The trigger also has an option to match on the year, which keeps a 2026 due date from firing again in 2027.
Build it in HighLevel
- Import the due dates from your DMS export, one row per vehicle, into a Vehicle custom object or a contact date field.
- Create a workflow with the Custom Date Reminder trigger set to 21 days before the Next service due date, with match on the year on.
- Add an If/Else that skips anyone with the tag Service booked.
- Send the text, then the email, with the vehicle and date as custom values and the service calendar link in both.
- Copy the workflow for the 7 day and the 3 days after reminders, changing only the timing and the wording.
- When a booking is made, a second workflow adds the tag Service booked and uses the Remove from Workflow action on the three reminder workflows.
- Turn on Stop on Response so a reply reaches an advisor, and create a task for the advisor when a customer replies.
Worked example
A dealership with 3,000 active service customers and due dates spread across the year sends about 250 first reminders a month (3,000 divided by 12). If 10 percent of those customers book after one of the three messages, that is 25 appointments a month (250 times 0.10). The 10 percent is an assumption, so replace it with your own booking rate after the first full month.
What the message may say
Texting needs consent from the customer, and US business texting from a standard number needs A2P 10DLC registration. A reminder with no offer is an informational message. Adding a coupon, special, or upsell turns it into marketing, which TCPA compliance guides say needs prior express written consent. The FCC's 2024 order lets people revoke consent by any reasonable means, and a September 2026 revision changed parts of that rule, so confirm the current version with counsel.
Franchised and independent dealers: where the interval comes from
A franchised dealer follows the manufacturer's maintenance schedule for each model, which usually names a mileage or a time, whichever comes first, and the service system calculates a due date from the last visit. An independent shop sets its own intervals, often by oil type and vehicle age. Either way, store the interval you actually use, not a generic six months, because a reminder that arrives too early teaches customers to ignore the next one.
Three messages, written out
First reminder: Hi Alex, this is [Dealership] service. Your 2022 Equinox is due for service around March 14. Pick a time that works: [link]. Reply STOP to stop messages. Second reminder: Hi Alex, we have openings Tuesday and Thursday this week for your Equinox. Book here: [link]. Missed reminder: Hi Alex, your Equinox service date has passed. We can usually fit you in this week: [link] or call [number]. None of them carries a price or a special.
How this was handled before
A windshield sticker with the next oil change mileage, and a mailed postcard from the service system, did the work. Both still help, and neither knows when a customer has already booked. A date field and a booking tag let the reminder arrive when the customer is planning the visit and stop as soon as the visit is on the calendar.
What to measure
Track reminders sent, customers who booked within 14 days of a message, the show rate for those appointments, repair order value, and opt outs. Compare the three message timings once you have a few hundred sends each.
Questions people ask
How early should a dealership send a service reminder?
A common starting point is 21 days before the due date, then 7 days before, then once after. Test the timing against your own booking data.
Does a service reminder text need consent?
Yes. A reminder with no offer is informational, and adding a coupon or special makes it marketing, which needs prior express written consent according to TCPA compliance guides.
Can HighLevel read my dealer management system?
Not on its own in the sources we checked. Dealers usually export due dates from the DMS and import them, or connect through an integration. Confirm what your DMS vendor supports.
