Create each service bay as a Room, each loaner car or group of shuttle seats as Equipment with a quantity, and attach them to the service calendar. GoHighLevel then blocks a time when no bay or loaner is left. The bottom line: a customer who books a Tuesday appointment with a loaner needs a promise the dealership can keep, and a calendar that counts the loaners keeps it.
Why the calendar needs to count
NADA's mid year 2025 report counted more than 137 million repair orders at franchised dealers in six months, which works out to about 5.3 million a week across the industry (137 million divided by 26 weeks). A busy service lane is a resource puzzle: advisors, bays, loaners, and shuttle seats all have limits. When the booking page only knows about advisors, the dealership discovers the loaner shortage when the customer is standing at the desk.
What maps to what
| In the dealership | In HighLevel | Setting |
|---|---|---|
| Service bays | Rooms | One Room per bay, so a bay cannot be double booked. HighLevel's help describes Rooms as spaces such as service bays |
| Loaner cars | Equipment | One Equipment item with the quantity of loaners you have |
| Shuttle seats | Equipment | An item with the number of seats on the run, attached to the shuttle service |
| Service advisors | Team members | Each advisor's availability on the calendar |
| Types of visit | Services on a service calendar | Oil change, brake inspection, recall repair, each with its own length and resources |
HighLevel's help center says Equipment can be assigned to more than one calendar and that quantity can be set, and that Rooms and Equipment are visible only internally. It also says there is no native reporting on equipment usage, so appointments tied to a resource must be reviewed on the calendar. A service calendar lets a customer pick a service, then a staff member, then a time, according to a third party guide.
Build it in HighLevel
- Turn on Rooms and Equipment in the calendar settings and create a Room for each service bay.
- Create Equipment called Loaner car with the number of loaners, and Equipment called Shuttle seat with the number of seats.
- Create a service calendar with services such as Oil change, Brake inspection, and Recall repair, each with a duration.
- Attach the right Rooms to each service. Create a service variant called With loaner and attach the Loaner car equipment to it.
- Attach the Shuttle seat equipment to a service variant called With shuttle ride.
- Add booking form fields for the vehicle, the VIN or plate, and the concern, and keep an SMS consent checkbox.
- Test by booking the last loaner twice. The second customer should see no slot for that time with a loaner.
Where the calendar stops
A reservation is tied to the appointment. A loaner that goes out for a two day repair is not blocked for the second day by the booking alone, and a customer who returns the car late is not tracked. Confirm in your account how long equipment stays reserved, and if it cannot span days, add a Loaner return date field and a task on the day before it is due. The calendar prevents double booking at the start, and a person still has to run the loaner list.
Worked example
A department with 6 bays, 4 loaners, and 2 shuttle runs of 8 seats a morning can accept up to 4 loaner appointments at any one time and 16 shuttle seats a morning. If 5 customers ask for a loaner at 8 a.m., the fifth sees the next open time. That is the answer the advisor would have given at the desk, without a callback.
A first week checklist
Before you publish the calendar, list the actual number of bays, loaners, and shuttle seats, and the hours each is available. Create the Rooms and Equipment, then book test appointments until each limit is reached. Check that the booking confirmation tells the customer whether a loaner or a shuttle ride is reserved, and what to bring, such as a license and insurance card for a loaner. Ask advisors to compare the calendar with their own sheet for the first week, and correct any mismatch before customers depend on it.
Confirm by text and email
A customer who reserves a loaner should receive a confirmation that names it, plus a reminder the day before with the pickup time. Use the appointment trigger to send both, and add the return date to the record so the advisor can send a return reminder. These messages are about a service the customer booked, so they are informational, and they need the same registered number and STOP handling as any text.
How this was handled before
An advisor wrote the loaner and shuttle bookings on a whiteboard or a spreadsheet. A customer who booked online got a time that the whiteboard might not honor, and the correction came by phone. Counting the resources on the booking page puts the limit where the customer is choosing.
What to measure
Track appointments booked with a loaner, loaner requests that found no slot, and the show rate for loaner appointments. A high number of customers who could not find a loaner slot is a reason to add loaners or change the hours.
