Omni Online Strategies — Proposal
Proposed System Architecture Breakdown
01 — The Process
How a lead moves through the system
From the moment someone opts in on a Meta ad to the point they're in the CRM receiving regular communications. Click any step for detail.
↩
Lead engages → Webhook back to CRM
When a lead replies or clicks, the cold sending system fires a webhook back to GoHighLevel. The lead moves into the warm contacts pipeline automatically. All future sends run through the CRM from this point forward.
02 — Mailbox Infrastructure
Domains & Mailboxes
70 mailboxes across 35 sending domains, grouped by brand. Sends rotate across the pool — if one mailbox gets flagged, the rest keep running.

🔄
Reserve pool — always warming
A batch of mailboxes is continuously warming in the background. When a live mailbox is retired, a pre-warmed replacement is deployed the same day. No gap in sending capacity.
+12
in reserve
DNS on every domain: SPF, DKIM, and DMARC configured before any email is sent. Your primary brand domains are never used for sending.
03 — Warm-Up Process
How a mailbox earns its reputation
Every new mailbox takes 5–6 weeks before it's ready for live sends. Select a week to see where it is in the cycle.

Your mailbox sends and receives real emails within a network of warm-up inboxes (Gmail, Outlook, and others) — simulating genuine engagement. Opens and replies build domain authority before any real lead receives a single email.
04 — The CRM
Managing warm contacts
Once a lead engages, they enter the CRM. We suggest GoHighLevel.
We suggest GoHighLevel
GoHighLevel covers everything needed to manage ongoing communications across all 6 brands — drag-and-drop email builder, segmentation, automations, SMS, reporting, and full API and webhook access to connect with your existing stack.
Drag-and-drop email builder
Dynamic segments + tags
Suppression lists
Automation workflows
Per-domain reporting
SMS alongside email
Full REST API + webhooks
Multi-brand workspace
Important: The CRM never handles cold outreach. Only warm, engaged contacts receive emails from this layer — keeping sender reputation clean.
05 — Investment
What's included & what it costs
Two setup fees — cold infrastructure and CRM build are scoped separately. One monthly retainer covers management of the entire system.
