Tell the shopper plainly that the vehicle has sold, offer up to three similar vehicles that fit what they said they wanted, and ask before sending future alerts. A stage change on the opportunity in GoHighLevel starts the message. The bottom line: a shopper who finds out a car sold from a stale ad stops trusting the dealership, and a shopper who hears it first from you with three alternatives often stays.

How big the used lead stream is

NADA's mid year 2025 report, as covered by Digital Dealer, found franchised dealers sold 6.74 million used vehicles in the first half of 2025 at an average price of $28,602. Every used vehicle that sells leaves behind other shoppers who asked about it, and each of them has a stock number on their lead. Those leads are warm, specific, and already in your system.

What the shopper wants to hear

SituationMessageNext step
Asked about the car, no appointmentIt sold earlier today. Here are three similar vehicles in your range, and I can show you any of them. Do you want me to hold one?Salesperson task to confirm the picks within 2 hours
Had an appointment booked for itYour appointment for the 2020 Accord is cancelled because that vehicle sold. Here are 2 similar vehicles, and we can keep the time if you would like to see one of themCall task before the appointment time
Asked about price onlyThat vehicle sold. Similar ones start at [price] today. Tell me the budget you have in mind and I will send the best fitsReply goes to the salesperson

Be exact about timing. Say sold earlier today with the time the system recorded it, and never imply a car is available because a record has not updated yet. A price in the message follows the same rules as our guide on keeping text offers in line with advertised prices.

Pick similar vehicles from stated criteria only

Choose alternatives from what the shopper told you: budget, body style, features, and mileage range. Show the same options to every shopper who asks the same question, and do not decide who sees what based on anything about the person. Fair lending and equal treatment rules apply to how vehicles and credit are offered, so a consistent method protects the dealership.

Build it in HighLevel

  1. Store the shopper's stock number, budget, and body style as opportunity fields when the lead arrives.
  2. Update the Vehicle status field from your inventory feed or a daily import, and move opportunities for a sold stock number to a Vehicle sold stage.
  3. Start a workflow with the Opportunity Changed trigger on the Vehicle sold stage.
  4. Create a task for the salesperson to choose up to three similar vehicles within 2 hours, and send the message with the picks when the task is completed.
  5. If nobody completes the task, send a fallback message after 2 hours with a link to the inventory page filtered to the shopper's budget and body style.
  6. Ask for consent to send alerts about new arrivals with a separate checkbox, and add the tag Inventory alerts only for those who agree.
  7. Remove the shopper from the earlier offer workflows so they do not receive a stale price.

Worked example

If a dealership sells 80 used vehicles a month and each had 4 other shoppers with open leads, that is 320 leads touched a month (80 times 4). If 10 percent of those shoppers respond to the similar vehicles message, that is 32 conversations that would otherwise have gone quiet (320 times 0.1). The 4 leads per vehicle and the 10 percent are assumptions to replace with your own.

Rules

The sold notice answers the shopper's own inquiry and is informational, while alerts about new arrivals are marketing and need prior express written consent. Registered numbers, STOP handling, and opt out records apply as for any text.

Messages written out

Sample for a shopper with no appointment: Hi Chris, this is Dana at [Dealership]. The 2019 RAV4 you asked about sold earlier today. I have 3 similar ones in the price range you mentioned: [link 1], [link 2], [link 3]. Would you like to see one this week? Reply STOP to stop messages. Sample for an alert opt in, sent only after the shopper replies yes: Great. I will text you when a new RAV4 under your budget arrives. Reply STOP at any time.

When the shopper wants the same vehicle elsewhere

Some shoppers will ask for the same model from another source. Offer to search the dealer network or auction feeds if your store does that, and say plainly what you can and cannot do. A direct answer keeps the conversation open, and a promise to find the exact car that you cannot keep does the opposite.

How this was handled before

The website listing came down, and the shopper found out when they called or drove in. A salesperson sometimes remembered to call the other interested shoppers, and often did not. The stage change makes the follow up the default.

What to measure

Track sold vehicles with open leads, shoppers messaged within 2 hours, replies, appointments set for a different vehicle, and alert opt ins. The time from sale to message is the number to push down.
